    Job Description
    Executive Assistant
    Wage – $12.50/hour
    Part Time Position – 20 hours a week (hourly position); flexible schedule
    Work hours are primarily during general business hours unless weekends or evenings needed for events, then hours may be adjusted.   No paid time off.
     
    Reports To
    This position reports directly to the Executive Director but may provide support to Development Director and Program Coordinator.

    DREAM Adaptive Recreation is a 501(c)(3) organization that provides outdoor sports and recreation opportunities to enhance the quality of life for youth, adults and veterans with disabilities. Opportunities include alpine skiing, snowboarding, Nordic skiing, mountain biking, paddle boarding, kayaking, water skiing, wakeboarding, and other water sports.
    Summary of Duties
    The Administrative Assistant provides support for overall business activities.  Responsible for coordinating business services and related activities to support communications, data systems, and programs. Administrative Assistant will be assigned special projects based on workload.
    Areas of Responsibility
    Office Operations
    • Serve as main contact for general phone and email inquiries. Respond to direct requests for information and/or forward messages to appropriate staff
    • Perform general office duties such as typing, correspondence, data entry, filing, requisition of supplies, mailings, etc.
    • Assist in maintaining office technology including phones, computers, software, and other infrastructure to support daily operations
    • Assist with overall coordination of program calendars, meetings, major events
    • Maintain office documents on the Google shared drive to ensure they are up to date and organized
    • Assist with maintaining and updating NeonCRM database
    • Assist with all donor acknowledgement and mailings
    • Coordinate materials/publications for meetings and training sessions and other activities of the organization
    • Provide meeting support as needed (e.g. scheduling conference rooms, coordinating food, logistics)
    • Provide support to fundraising efforts, event planning, follow up and outreach
    • Maintain social media accounts, coordinate with staff to schedule posts
    • Support accounting with organization of expenditures, receipts, and transaction coding
    • Conducts duties and tasks as requested within the general context of this role

    Volunteer Coordination
    • Assist Program Coordinator/ED with scheduling and preparing for volunteer orientations
    • Assist volunteers with the application process and signing up for specific programs
    • Facilitate volunteer background checks and communicate results to new volunteers
    • Connect new volunteers with appropriate organizational contact
    • Assist with recruiting and managing volunteers for all special events
    • Support volunteers in scheduling community exhibits and fairs – coordinate with Director
    • Assist Program Coordinator in scheduling and coordinating with corporate workgroups

    Program Support
    • Assist with programmatic data entry
    • Assist participants with the registration process and signing up for specific programs
    • Maintain and organize participant, volunteer and program files
    • Report program concerns or issues directly to supervisor
    • Perform other duties as assigned

    Qualifications / Skills
    • One to three years of office administrative experience preferred
    • Associate’s degree or equivalent work experience
    • Strong computer skills including Microsoft Office, Excel, Google products, NeonCRM (or other database) and other administrative programs
    • Strong customer service mentality
    • Excellent communication skills, both verbal and in written, and the ability to successfully multi-task and collaborate with others
    • Strong organizational and people skills
    • Ability to prioritize projects to enhance work flow
    • Ability to work independently
    • Strong attention to detail, confidentiality, thoroughness
    • Ability to work with a diverse group of individuals including sponsors, donors, event managers, volunteers, people with disabilities, Board of Directors and program staff
    • Non-profit experience a plus
    Physical/Environmental Demands
    • The work being performed will be at least 80% at a desk
    • Ability to work from home with high-speed internet access or in a public space with high-speed internet access.
    • Valid driver’s license and reliable transportation.  The job will require running errands and assisting with community events.  Mileage will be paid at the current government rate.
    • The ability to periodically lift up to 50 pounds, bend, twist, and kneel to move equipment.
